Freight forwarding guide

How to prepare an EU transport request

Companies get faster and more realistic transport answers when the load details are clear from the start. This guide explains what to send when you need a suitable vehicle, part load, full load or 3.5t van freight inside the EU.

Best for

Companies with goods ready for transport inside the European Union.

What Sailaway checks

Route, loading date, unloading needs, cargo size, weight, target price, vehicle type and documents.

Support

Freight forwarding, vehicle search, dispatch communication and CMR/POD document follow-up.

1. Start with loading and unloading details

For every shipment, the most important information is where the goods will be loaded and where they need to be unloaded. Add the company name, city, postcode and country if available. If there are strict loading or unloading time windows, include them from the beginning.

  • Loading place: company, city, postcode and country.
  • Unloading place: company, city, postcode and country.
  • Loading date and loading time window.
  • Unloading date, delivery deadline or appointment requirement.

2. Explain the cargo clearly

Vehicle choice depends on cargo type, dimensions and weight. For van freight, it is especially useful to know whether the goods are on pallets, boxes, machinery or loose cargo. Dimensions help avoid wrong vehicle selection and wasted time.

  • Cargo type and number of pallets or pieces.
  • Total weight and dimensions.
  • Stackable or non-stackable goods.
  • Special handling, fragile goods or loading restrictions.

3. Choose part load, full load or vehicle search

A part load can be useful when the shipment does not need the whole van. A full load is better when the client needs dedicated capacity, direct delivery or tighter timing. If you are not sure, Sailaway Logistics can review the details and help decide what transport option makes sense.

4. Add target price and transport documents

Target price helps us understand the budget direction before checking realistic options. Documents are also important, especially CMR, POD, transport order, delivery confirmation and import/export support when needed.

  • Target price or budget range.
  • CMR and POD requirements.
  • Import or export documentation needs.
  • Preferred communication by email, phone or WhatsApp.
